AgMedica is seeking a self-driven individual who can thrive in a fast paced environment. The Executive Administrative Assistant will support top-level management by providing one-to-one, high-quality administrative and clerical assistance. Reporting to the Chief Executive Officer, the Executive Administrative Assistant will aid in promoting a professional and organized office, assisting in calendar management, event planning, travel arrangements, scheduling meetings, records and database management, along with new business and compliance activities.

Major Duties:

  • Always adhere to Standard Operating Procedures (SOP) to ensure safety, efficacy, and quality, in all executive administrative protocols and operations;
  • Familiar with and follow the Cannabis Act, including its regulations;
  • Accept role of primary point of contact between Executives and internal/external business partners, greeting guests and answering/directing questions;
  • Organize and maintain electronic calendars, coordinate/schedule meetings and appointments;
  • Develop and maintain office systems, including data and records management;
  • Manage requests from top-level executives, execute expectations in a timely and professional manner;
  • Accurately master several tasks and timelines at once while being organized and having attention to detail;
  • Proactively trouble shoot, problem solve and complete projects independently;
  • Arrange executive and external business partner travel, accommodations and dining/entertainment as required;
  • Event planning: arrange corporate events that require external coordination, such as speaking engagements, conferences, town halls, and public engagement (i.e. golf tournaments);
  • Records management; develop and carry out an efficient electronic and hard copy filing system as per established procedures;
  • As required, produce professional quality reports and presentations, assist in presentation of material as needed;
  • Understand how to interpret and effectively employ the AgMedica Software Systems;
  • Monitor executive email: manage executive time by reading and responding to email correspondence;
  • Provide general administrative and clerical support, including mailing/courier, emailing, scanning, copying, answering phone and organizing meetings for management;
  • Proofread and modify documents, including correspondence, reports, SOPs, amendments, applications, and memos;
  • Other duties as assigned by Sr. Management Team (CEO, CFO, VP of Sales).

Qualifications:

  • Post secondary Diploma in Business Administration, Office Administration and/or any other related discipline, and/or
  • 3-5 years experience working in Administration; comprehension of office management and procedures.
  • Superior knowledge of MS Office.
  • Demonstrate necessary comprehension of the English language.
  • Must be bondable.
